Searching for Tasks

ASM Core enables you to search for tasks and/or approvals using a variety of search criteria. This search function includes the ability to select both high- and low-level criteria to filter your search. You can, for example, search for tasks completed by a particular analyst, for a specific client and after a certain date.

Quick Search

If you know the number of the task or approval you want to view, use the Quick Search field on the toolbar:

  1. Select Task in the first drop-down field.
  2. Type the task number in the second drop-down field.
  3. Click Find. The Task Details window for the corresponding task or approval appears.

Full Task Search

  1. Select the arrow on the Search button in the toolbar, and select the Tasks option from the drop-down list. The Task Search window displays. The Task Search window is divided into two panes. The left pane is where you can select the criteria for the search, and the right pane displays the results of your search.
  2. Use the options in the Task Search Criteria pane to select search criteria.
  3. As soon as you type or select a value for a search field, the checkbox for that field is automatically selected. You can also select a checkbox first, and then select the criteria for a field.

    Selecting Tasks will display all task entity types in your search except User Approval tasks. Selecting Approvals will retrieve all User Approval tasks.

  4. You can add or remove criteria to the search criteria pane by selecting and configuring the search criteria.
  5. You must select at least one search criterion in the left panel (not including the criteria in the Options section) to run the search.

  6. When you have specified your search criteria, click Search. The results will appear in a browse table located in the right hand window. Each column of the Results browse table corresponds to a task attribute, such as Task No., Priority and Description. Click a column heading to sort the results by ascending or descending order (You may like to adjust the column widths to see all of the columns.)
  7. To view the task, select . To action the task, select . Depending on how your system is configured, double-clicking a task in the browse table either opens it in Review mode or in Action mode. To make any changes to the task, you must be in Action mode.
  8. If a task is currently open and is being updated by another analyst, you cannot take action until the locking analyst releases it either by deferring it, cancelling it, or forwarding it. If a task is completed, you will have to reopen the task and take action on it to make any changes. By doing so, you are effectively taking over responsibility for the request.

  9. In addition to viewing results in the form of task records in a browse table, ASM Core enables you to view the results of a search as a graph. To view task search results in a graphical format, click on the toolbar.
  10. When viewing results as a graph, you can drill down into a specific bar or section of the graph and view a list of the corresponding tasks. This is effectively running a search within your original search. If viewing a Horizontal Bar graph, click the bar with the specific tasks that you wish to display (for example, all the tasks with a Priority 1). If viewing a Pie Chart, click the appropriate segment. A new Task Search window opens and displays all tasks specific to the selected bar or piece of the graph, in the form of a browse table.
  11. Once a graph is open, you can use the button to customize the graph display.
  12. You can also use the Copy Graph button to copy the graph to your computer’s clipboard as a bitmap graphic. The graph can then be pasted into another program such as Microsoft Word.
  13. To revert to viewing results as a browse table, click the button on the toolbar.
  14. To close one or more of the tasks in the search results, use the Bulk Close function. Select the record(s) you want to close, using the Shift key to select consecutive records, or the Ctrl key to select non-consecutive. Then click on the toolbar.
